Frequently Asked Questions about Community Fundraisers and Promotions

Q: Can Stony Brook Medicine create a donation and registration page on its website for my event or promotion?
A: The volume and diversity of community partnered events and promotions prevent Stony Brook Medicine from doing marketing or managing reservations from invitees for community partner events or promotions.  These activities must be planned and managed exclusively by the community partner provider.

Q: Can Stony Brook Medicine assist us in creating marketing materials and communications for my event or promotion?
A: Stony Brook Medicine does not support the creation, printing, electronic dissemination or other aspects of the marketing or communications for any community partner provider. 

Q: Can Stony Brook Medicine assist us in identifying potential sponsors or attendees for our third party event or promotion?
A: Stony Brook Medicine cannot source sponsors for community partner fundraising events or promotions.  All outreach, marketing and advertising are responsibilities of the event or promotion organizer.

Q: Does Stony Brook Medicine have indoor or outdoor venues available for us to hold our event?
A: Consistent with Stony Brook University bylaws, community partner events may not take place on any of our campus properties.

Q: Will Stony Brook Medicine cover the expenses of our event?
A: Stony Brook Medicine cannot be responsible for the expenses of community partner events or promotions.  Community partner can pay for the expenses of their event through the revenue that comes in from the event or promotion provided they meet the criteria stated in the fundraising guidelines above.  Please note that donations made directly to Stony Brook cannot later be transferred to Community partner organizers to defray expenses.

Q: I would like to donate a percentage of sales from an item at my shop, and offer you the opportunity to hold an event at my shop to promote this.
A: Please follow the application process outlined above to receive approval for your point of sale promotion.  A minimum guarantee of $500 is required for any cause-related marketing promotion. Please contact us at communityevents@stonybrookmedicine.edu for more information.

Q: Stony Brook Medicine and its many schools and units seem to use different names in different places.  What is the correct name to use in my communications about our event?
A: Please see below for the list of correct organizational names as they should appear both the first time they are mentioned in your materials and then in subsequent mentions.
